The My Suppliers icon navigates the inviter to the search feature to find suppliers that have been invited under the user-specific GE Healthcare SSO ID. This section also lists the suppliers that have been invited by the user-specific SSO ID, the supplier status and the ability to conduct specific inviter functions.

My Suppliers Search

The My Suppliers search feature is a useful tool to find suppliers by various registration credentials.

To find a specific supplier select the method of search:

  • Simple Search - use supplier credentials and SOAR parameters

  • Dynamic Search - use supplier credentials, SOAR parameters and search limits

  • Bulk Search - use supplier credentials, limit value and custom search upload value

  • Saved Search - list of saved search results

Simple Search Instructions

  1. Enter credentials for one or more of the following Simple Search criteria:
    - VR ID
    - Vendor Number
    - Company Name
    - Status
    - Country
    - Profile Type
    - Site ID
    - Vendor Contact
    - TIN
    - SSN
    - Purchasing Organization
    - Company Code

  2. Click the Search button.

  3. Click the Clear Search button to begin a new Simple Search.

  4. Click Save Search to add the current search criteria to a saved list.

  5. View the search results in the My Suppliers List.

Dynamic Search Instructions

  1. Select a supplier credential value in the dropdown, select a limit value and enter a value in the field.

  2. Click the + symbol to add another supplier credential, limit and field value or the x symbol to remove.

  3. Click the Search button to view results in the My Suppliers List or save by entering a name for the search in the Name Your Search field and click Save Search to view later.

Bulk Search Instructions

  1. Select a supplier credential value in the dropdown.

  2. Select Contains in the next dropdown.

  3. Click the Select files button to find a local text file.

  4. Click the Upload & Search button.

It is recommended to use a text file (.txt) to upload a bulk search, such as Microsoft Notepad to enter search values.

Saved Search Instructions

A list of searches saved from the Simple Search and Dynamic Search are listed in the following format:

  1. Click the Search button to view the saved search.

  2. Click the Delete button to remove the saved search from the list.

  3. Click the Vertical Ellipsis to sort the list by ascending or descending order.

My Suppliers List

The My Suppliers list displays all of the suppliers invited from the user-specific SSO ID.

The inviter can perform functions such as:

  • Export to Excel

  • Registration Change

  • Change Ownership

  • View Registration

  • View Event Log

  • Resend Credentials

Each My Suppliers list button opens to a new window, except Export to Excel, which will immediately download the list of suppliers under the user-specific SSO ID.

Export to Excel Instructions

  1. Review the columns and quantity to export.

  2. Click the Export to Excel button.

  3. Open and view the downloaded excel file on the local drive.

The Microsoft Excel file automatically downloads to the default location (either the downloads or documents folder) or a location set by the user.

Columns can be added or removed from the records list by clicking the Vertical Ellipsis in any column, selecting Columns in the dropdown, and then selecting or unselecting the column name.

The export quantity is set in the User Preferences section and Rows to Display. For example, if the quantity is set to display 50 rows in the search display, the excel file will export the first 50 rows. To export the second 50 rows, advance the search to page 2.

Registration Change Instructions

  1. Highlight the row of the supplier to change.

  2. Click the Registration Change button.

  3. Click the Edit button in the new window.

  4. Update the supplier contact information in the new window.

  5. Click the Ok button and then the Submit button.

The primary contact cannot be deleted. If any other contact type is deleted, SOAR removes the record and the contact must be added again in the Invite Supplier section.

Registration Change is used to change the record from supplier owned to GEHC owned or vice versa.

Change Ownership Instructions

  1. Highlight the row of the supplier to Change Ownership.

  2. Click the Change Ownership button.

  3. Enter a user name in the Created By User field in the new window.

  4. Select the available user name in the dropdown.

  5. Click Ok.

  6. Click the X to exit with no change in ownership.

Change Ownership is used to change the GEHC inviter on record. The Created By is updated in the My Suppliers list.

View Registration Instructions

  1. Highlight the row of the supplier to View Registration.

  2. Click the View Registration button.

  3. Scroll through the supplier registration in the new window.

The supplier registration cannot be changed in view mode.

Click the Supplier in the Company Name column in the My Suppliers list to make registration changes.

View Registration is used to view the supplier record in a full-page.

View Event Log Instructions

  1. Highlight the row of the supplier to View Event log.

  2. Click the View Event log button.

  3. Scroll through the columns of available event data.

Event log data can be exported to Excel by clicking the Export to Excel button. Click the Search button to view or export data by date range.

Resend Credentials Instructions

  1. Highlight the row of the supplier to Resend Credentials.

  2. Click the Resend Credentials button.

  3. Click the Email button for the selected supplier contact.

  4. Click the Ok button in the new window to Resend Credentials to the supplier contact.

The Submit button only updates the supplier contact after editing and does not Resend Credentials.

Resend Credentials is used to resend the invitation email to the supplier or to edit the contact information.

My Suppliers Filter

The My Suppliers filter is used to quickly find a supplier by entering values in one or more of the following column fields:

  • VR ID

  • Vendor Number

  • Company Name

  • Vendor Controls

  • Status

  • Registration Type

  • Address Type

  • Invited By

  • Date Registered

  • Updated By

  • Last Update

My Suppliers Filter Settings

The My Suppliers Filter has several settings to enhance search results.

The My Suppliers list can be sorted into groups by dragging and dropping a column into this section:

Click the X to clear the drag and drop:

The My Suppliers columns can be sorted in Ascending or Descending order by clicking the column header - click the column header again to alternate sorting styles:

My Suppliers Filter Instructions

  1. Enter a value or a dropdown item in one or more selected columns.

  2. Select an optional setting in the Filter Funnel.

  3. Select from the dropdown or enter the query value in the field.

  4. Click the Shaded Filter Funnel to clear the values.

When entering a field value, SOAR queries data to select in a dropdown. VR ID data is not auto queried.
